Description & Requirements
Electronic Arts creates next-level entertainment experiences that inspire players and fans around the world. Here, everyone is part of the story. Part of a community that connects across the globe. A place where creativity thrives, new perspectives are invited, and ideas matter. A team where everyone makes play happen.
We are looking for an organized, dependable, and proactive Billing Coordinator. Based within our Creative Studio, this role reports directly to the Director of Global Events while receiving day-to-day operational guidance and mentorship from our Billing Manager. You will drive day-to-day billing and purchasing operations across key marketing and communication disciplines.
In this role, you will partner closely with global stakeholders - including Event Producers, Talent and Community Managers, Communications Leads, Finance, Legal, and external suppliers. From handling purchase orders (POs) and vendor onboarding to routing invoices and maintaining weekly financial trackers, you will keep our payment operations moving smoothly, accurately, and on schedule across our portfolio of titles and experiences.
Responsibilities:
Create and process daily purchase order (PO) requests such as Oracle.
Vendor setups in EA’s financial tools such as Tap Tool.
Review incoming invoices, match them to corresponding open POs, and submit them to Accounts Payable (A/P) for timely processing.
Maintain internal PO and invoice trackers daily with accurate, up-to-date payment status, account coding, and documentation.
Partner with the Billing Manager to conduct weekly audits of PO trackers to catch missing details or pending approvals early.
Proactively follow up with project managers and business owners on un-invoiced open POs to maintain budget accuracy.
Take ownership of billing discrepancies - work directly with Purchasing, A/P, and vendors to resolve payment holds or invoice mismatches with minimal supervision.
Serve as the dedicated billing point of contact for supported teams, responding promptly and professionally to vendor and internal payment inquiries.
Ensure all billing activities meet month-end and fiscal year-end deadlines in full adherence to EA payment policies.
Build strong, collaborative relationships across teams and proactively suggest workflow improvements and updates to team documentation.
Qualifications:
2+ years of experience in billing, accounts payable, or operational purchasing support, managing a steady, high volume of POs, invoices, and vendor setups.
Systems & Spreadsheets: Hands-on experience with financial and purchasing systems (such as Oracle, Salesforce) and proficiency with Excel/Google Sheets for tracking, filtering, and organizing financial data.
Independent Problem Solver: Proven ability to take ownership of tasks, investigate discrepancies with Purchasing or A/P, and resolve billing issues independently with minimal supervision.
Organization & Detail: Exceptional organizational skills with the ability to track contracts, paperwork, and approval workflows across multiple teams simultaneously without missing deadlines.
Communication & Collaboration: Excellent written and verbal communication skills, a customer-service mindset, and a demonstrated ability to build strong relationships across diverse teams.
Adaptable & Coachable: Quick learner who embraces feedback, adapts well to changing priorities, and actively speaks up with ideas to improve processes.
